FHP were using an in-house exchange server to send and receive emails and were rapidly running out of storage space whilst their hardware was also becoming outdated.
They were left with the option to either buy another in house exchange server to replace the current one or to opt for a cloud based solution. It was agreed that we would go ahead with the latter and therefore, we proposed an Office 365 migration.
The challenge was to move FHP from an in house Exchange 2010 Mail Server to the cloud based service, Office 365 with as little downtime as possible during the process in order to achieve a reliable and resilient email service.
To minimise disruption, we prepared for the switchover to Office 365 off-site beforehand as this can be completed without affecting the operation of the business. This involved creating FHP an Office 365 account.
Then, we copied all the emails that already existed on their current exchange server and put them onto their new Office 365 account. This is a lengthy process as there is a lot of data that needs copying across, which is why we completed this stage early on.
It was then a case of changing the DNS (domain name system), to redirect email traffic from the server to the cloud.
The final steps required an engineer to go on site to the FHP offices. Our engineer went in over the weekend, yet again this was done to cause minimal down time. The engineer had to change the settings on each individual PC in the office so that the PCs would now tell Outlook to collect emails from Office 365 as opposed to the server, because by default the DNS sends emails to the server.
During the process, those involved with the project maintained excellent communication and we ensured that FHP were in the know each step of the way.
With the Office 365 migration successfully completed, FHP can now benefit from a reliable email service that is secure and efficient.
