FHP – Office 365 Migration

Posted on: 11th October 2016

“Pyranet came forward with clear, well explained solution options for us. We went for the Office 365 migration and Pyranet moved us across practically seamlessly. Their engineers worked out of hours which helped enormously and kept us in the loop every step of the way. A job very well done.”

Company Background

As a nationally recognised brand, FHP are one of the largest private commercial property consultancies in the East Midlands.

In their 25 years of business, they have organically become recognised as a market leader in the commercial property market and pride themselves on being able to deliver a personal, no nonsense and forward thinking approach for their clients.

FHP offer a full range of agency and consultancy advice, with their teams geared up to provide expert knowledge in the retail, leisure, office and industrial sectors.

The Challenge:

FHP were using an in-house exchange server to send and receive emails and were rapidly running out of storage space whilst their hardware was also becoming outdated.

They were left with the option to either buy another in house exchange server to replace the current one or to opt for a cloud based solution. It was agreed that we would go ahead with the latter and therefore, we proposed an Office 365 migration.

The challenge was to move FHP from an in house Exchange 2010 Mail Server to the cloud based service, Office 365 with as little downtime as possible during the process in order to achieve a reliable and resilient email service.

The Approach:

To minimise disruption, we prepared for the switchover to Office 365 off-site beforehand as this can be completed without affecting the operation of the business. This involved creating FHP an Office 365 account.

Then, we copied all the emails that already existed on their current exchange server and put them onto their new Office 365 account. This is a lengthy process as there is a lot of data that needs copying across, which is why we completed this stage early on.

It was then a case of changing the DNS (domain name system), to redirect email traffic from the server to the cloud.

The final steps required an engineer to go on site to the FHP offices. Our engineer went in over the weekend, yet again this was done to cause minimal down time. The engineer had to change the settings on each individual PC in the office so that the PCs would now tell Outlook to collect emails from Office 365 as opposed to the server, because by default the DNS sends emails to the server.

During the process, those involved with the project maintained excellent communication and we ensured that FHP were in the know each step of the way.

The Outcome:

With the Office 365 migration successfully completed, FHP can now benefit from a reliable email service that is secure and efficient.

Office 365 is hosted by Microsoft, meaning there is a guaranteed 99.9% up time with a financially backed service level agreement, plus Microsoft data centres help safeguard your data to meet multiple industry-standard certifications.

Staff at FHP can also benefit from the ability to work where and when they choose, as Office 365 gives them the ability to access email and documents from mobile devices.

Overall, the end result has been a positive change, Associate Director at FHP, Debbie Barker explains:
